The following are the Stanley Arts’ general Terms & Conditions.
Please read these terms and conditions carefully.
Ticket conditions of sale
- For ticketed events, every member of the audience must have a valid ticket.
- Stanley Arts sometimes offers concessions for pensioners and those on universal credit. You may be asked to show proof of your concession.
- Admission is not guaranteed for latecomers – although it will be offered whenever possible.
- Ticket holders over 18 consent to the recording and filming of themselves as members of the audience.
- Stanley Arts reserves the right to refuse admission or attendance to any patron.
- Mobile phones, pagers and watches should be silenced before entering the building.
- Stanley Arts reserves the right to make any alterations to the advertised programme when it is made necessary by unavoidable causes.
We welcome accredited assistance animals in our spaces or, with notice, we can look after your animal whilst you enjoy the performance. We do ask anyone with any access issues to email bookings@stanleyarts.org in advance of their arrival so our team can make sure to offer the best possible experience.
We are always looking to increase our knowledge and what we can provide so please let us know if there is anything that can improve your experience with us.
Exchange & Refund Policy
- In the event of a cancellation or postponement of a performance our bookings team will contact audience members as soon as possible. Please ensure that your contact details are correct at the point of booking. Ticket/s for another performance or a full refund will be offered.
- If you cannot attend a performance, please contact our bookings team as soon as possible. In the first instance, Stanley Arts will exchange your tickets for another performance of the same production (subject to availability).
- If there is not another performance of the same production, Stanley Arts will offer a full refund – subject to 48hrs notice before the start of the show time originally booked. (Under no circumstances do we offer refunds for returned tickets after this time).
- In special circumstances – decided by the Marketing Manager – tickets can be returned for a credit voucher, valid on specific shows only, or exchanged for another performance at Stanley Arts. Some transaction charges may apply.
- To qualify for a refund or exchange tickets must be booked via the Stanley Arts Box Office system.
- Your statutory rights are not affected.
To hire a space at Stanley Arts, or to book a ticket for a public event, you must accept these terms and conditions.
Bookings Terms & Conditions
GENERAL INFORMATION for all hire types, including but not limited to weddings, private parties, meetings, rehearsals, classes, workshops, festivals, filming and public events. See specific terms for Weddings & Classes below.
Holding Deposit and Payments
For bookings over £1000 in total, we can offer a 10% non-refundable holding deposit to secure the booking, payable within 14 days of our invoice. The balance of the hire agreement must be settled within 4 weeks of issue, or 14 days before the event, whichever is sooner. If your requested booking date is within 6 weeks of confirmation the invoice should be paid as soon as it is received. All invoices need to be fully paid before your event happens.
Missed Payment
For bookings over £1000 a payment plan (Direct Debit) may be set up to spread the cost of the hire fee over a number of months (the final payment must be made within 1 month of the event in question). If a set payment date is missed a late payment fee of £30 will be applied. This charge covers the administrative costs associated with managing missed payments. Continued failure to make payments may result in suspension or cancellation of the booking.
Overseas bank accounts
Payments made with overseas bank accounts will incur a 10% fee to cover international transaction charges.
All payments from Stanley Arts will be made in GBP (£) to a Sterling bank account. We are unable to process payments to non-GBP or overseas accounts.
Damage Deposits
A damage deposit is required for all bookings, this will be used to cover any outstanding financial liabilities from unpaid invoices, extra hours, overruns etc. The hirer will receive a detailed breakdown of any money to be held back from their damage deposit and the reasons why.
The balance of the damage deposit will be returned to the hirer within 2 weeks of the booking. The hirer should send their bank details promptly to the venue after their event to allow us to process their refund. If six months have passed since the booking and the venue has yet to hear from a hirer with their bank details the damage deposit will be retained by SA.
If your event runs beyond the agreed booking time, a late running fee of £50 an hour will be applied. This will be deducted from your damage deposit.
Booking Details
It is the hirer’s responsibility to provide Stanley Arts with all information and requirements pertaining to the booking in good time. Stanley Arts cannot be held responsible for any unavailable services if all required information is not provided at least 6 weeks in advance of the booking.
Stanley Arts does not permit bookings to attach signage or decorations to the walls of the building. The Hirer is liable for any damage done by blu-tack, tape or any other wall fixings. Due to health and safety, no tables and chairs are allowed to be moved without members of staff present. We do not allow the use of wet slide play or bouncy castles for children’s parties due to health & safety concerns.
Stanley Arts does not permit bookings to attach anything to the walls or tiles of the building, including decorations or adhesives etc. The Hirer is liable for any damage done by blu-tack, tape or any other wall fixings. Due to health and safety, no tables and chairs are allowed to be moved without members of staff present. We do not allow use of wet slide play or bouncy castles for children’s parties. If confetti or hay is brought onto site, food is not cleared appropriately or if helium canisters are left on site, an automatic cleaning fee of £60 + VAT will be applied.
VAT
Stanley Arts is VAT-registered, VAT No: 471 3756 79. ‘Dry hire’ charges are exempt from VAT. There is a 20% VAT charge for all additional services.
Parking & Public Transport
We do not have any on-site parking.
There are 3 car parks in easy reach of Stanley Arts (Station Road, Belvedere Road and Clifford Road). Local street parking is mainly metered but there is free street parking off Southern Avenue.
Stanley Arts is a five-minute walk from Norwood Junction station, which has fast services to London Bridge, East & West Croydon, and direct trains to Victoria. There are also services to Sutton, Horsham, Caterham, Tonbridge and Tattenham Corner and the London Overground.
There are many local bus routes that serve Norwood Junction and can connect you easily to many parts of South London.
Catering & Refreshments
There is some kitchen provision on site. External caterers are permitted with the permission of the Operations team. If you are supplying your own catering, please give full details including the name and contact details of your provider. We insist any caterer new to working with SA makes a site visit prior to the day of the booking.
No gas or oil burners may be used inside the building.
Our Cafe’s hours are 9am – 3pm, Monday to Friday. Alternatively, we offer a range of catering options we can provide as part of the event. Please speak to the member of the bookings team to discuss.
We can operate a fully stocked licensed bar for your event. All the profits from our bar go towards the charitable aims of Stanley Arts. A price list is available on request. Please discuss any other needs with the Bars & FOH Manager. As a licensed premises, we do not allow bookings to supply their own alcohol for events. All alcohol must be supplied and sold through Stanley Arts.
Any minimum spend requirements will be discussed in the specific terms of your agreement with Stanley Arts. Any questions regarding bar options, please contact our Bars & FOH Manager at bars@stanleyarts.org.
3rd Party Entertainment
Any 3rd party entertainment being provided as part of a hire must be approved by the Stanley Arts team no later than 1 month prior to the date of the event. If approval is not obtained, our cancellation policy applies and we reserve the right to cancel the booking.
Technical Provision
Please discuss your specific technical requirements with the Events & Operations Manager; anything above basic use of PA and house lights can be arranged at a cost. All technical requirements must be given no less than six weeks in advance of arrival. Any requests submitted after this time may not be fulfilled.
Dogs
Dogs are not permitted in public areas of the venue. For private bookings, dogs may be permitted with prior approval from all users of the space and submission of a suitable risk assessment. Assistance dogs are welcome in all areas.
CONDITIONS OF HIRE
The Hirer:
- Shall comply with any and all requirements or directions of the Stanley Arts-appointed Duty Manager who shall be at liberty to suspend, terminate or control the hire to any extent and in any way they may deem necessary. The Hirer shall immediately vacate the premises if requested to do so. Such determination shall not release the Hirer from their obligations. This shall be without rendering Stanley Arts liable to damages or otherwise in respect of such suspension or actions.
- Shall comply with all statutory regulations and other legal obligations to which they are subject, for example, no smoking anywhere in the building and no behaviour likely to cause a breach of the peace.
- Shall take all possible steps to ensure all guests comply with all rules and regulations at all times.
- Shall not allow anything to be done to invalidate the insurance policy.
- If the hire has to be cancelled by the Hirer the following policy applies (minus a 10% non-refundable holding deposit):

The hirer will receive a 100% refund in the event of cancellation by the venue prior to the event; minus 10% non-refundable holding deposit.
- Shall make no monetary collection on the premises except with the prior written consent of the Manager.
- Shall comply with Stanley Arts’ zero tolerance of drugs & the misuse of alcohol policy.
- Shall not use the premises for any purpose other than that agreed in advance.
- Shall keep all gangways doors, passages, corridors, entrances and exits clear and unobstructed.
- Shall not remove any of the fixed furniture or appliances from Stanley Arts or drive any nail, screw or other fixing or fastening into any wall, floor or furniture without permission of the Manager.
- Shall repay to Stanley Arts on demand the cost of reinstating all or any part of Stanley Arts, or any property in or upon the building, which is damaged, destroyed, stolen or removed during the hire period or prior to the hire period if the damage is in relation to or caused by the hiring.
- Shall only bring property into the building if it is safe, and adequately fireproofed. Electrical equipment must be PAT tested, and if no proof can be provided then use of may be rejected. All such property is the responsibility of the Hirer and must be removed after the event.
- Shall provide method statements and risk assessments for any events which require installation of temporary equipment. Any contractors working on site will be required to provide copies of relevant insurance. This documentation should be provided at least two-four weeks in advance of the event.
- If event involved working with young people / vulnerable adults the hirer must provide a copy of a safeguarding policy and read SA Safeguarding Policy with acknowledgment.
- Shall not permit any explosives, highly inflammable spirits or the use of naked lights in or around the premises.
- Shall not bring any animals into the building apart from service animals, unless by prior agreement.
- Shall leave the space in a clean and tidy order, or a cleaning fee will be deducted from the damage deposit before a refund is issued. Alternatively, with prior agreement made with the Bookings Team, the Hirer can choose to pay a cleaning fee whereby cleaning will be arranged with the Bookings Team.
- If confetti or hay is brought onto site, food is not cleared appropriately or if helium canisters are left on site, an automatic cleaning fee of £60 + VAT will be applied.
- Shall not leave any property on site without permission once the hire period has concluded. Anything left behind will be disposed of at Stanley Arts discretion, and at the Hirer’s cost.
- Shall not transmit or record performances on the premises without prior consent from the Manager. Any photographs taken in the space can be shared by the Stanley Arts marketing team with full credit.
- Shall not infringe the copyright on plays etc and shall indemnify the Stanley Arts for any proceedings arising from breach of copyright.
- Shall be liable for any PRS/PPL charges arising from a public event. Live bands must fill in a PRS setlist form and submit to the management in advance.
- Shall not permit the use of any amplification equipment without previous permission from the Manager.
- Shall provide such attendants for general supervision of the premises as the Manager shall deem necessary, to be agreed in advance.
- Shall inform Stanley Arts if there are likely to be any minors attending. If so, the Hirer shall sign the child safety and safeguarding policy, and agree that they take all responsibility for children attending the venue.
- Shall ensure that room capacities are strictly adhered to. These relate to fire safety policies and cannot be exceeded.
- Shall not permit any high-risk activities by any person(s) at any time. Anybody seen to be endangering other members of the public shall be ejected with no recourse, at the discretion of the management.
Drug & alcohol misuse policy:
- Any customer found using or selling drugs will be ejected immediately and the police called.
- Any customer found to be intoxicated will be ejected immediately with no re-entry.
- Stanley Arts will not be liable for any disruption to any event caused by ejecting customers as a result of this policy.
- The management’s decision is final.
Stanley Arts:
Will retain the keys.
Will provide at its own expense for reasonable cleaning, heating and normal lighting of the premises but shall not be responsible for any failure or defect thereof.
Will not accept responsibility for the loss of or damage to any item brought to or left on the premises.
Wedding Hire

We can provide 1-2 spaces for event organisers or caterers dependent on availability. Please talk to the Stanley Art Bookings team member managing your booking for more information.

Classes
Booking Details
For class bookings, we require the first payment to be two full months where one month is for the hire and the second month will act as a deposit for the booking.
All classes agree to move to a suitable space when required by Stanley Arts, who will strive to give two weeks’ notice in advance of any room changes.
It is the hirer’s responsibility to give the venue two weeks’ notice of cancellation for the class booking, if cancellation is given at suitable time the booking fee will be carried over to a future booking.

Ticket Purchases
For all tickets bought through our third party ticketing partner Ticketsolve please go to their website for a full list of their terms & conditions.
Ticketsolve charges us booking fees per ticket and we cover some of these fees by charging the customer a £1.25 transaction fee. This fee is the same regardless of the amount of tickets you book and how much they cost.
On tickets booked through our website, (via Ticketsolve) we offer refunds if you’re unable to attend for any reason and give us 24 hours notice before the event. If you notify us within less than 24 hours, refunds or exchanges can only be made at the Marketing Manager’s discretion.
The £1.25 transaction fee will only be refunded if you have booked for the one event which you have cancelled.
If you have purchased multiple events in one transaction, and you plan to attend the other event(s), this fee will not be refunded.
For group bookings including children, we suggest the following adult/ child ratio, please consider this whilst making your booking.
- Foundation stage (age 0-5) – 1:3
- Key stage 1 (age 5-7)- 1:6
- Key stage 2 (age 7-11) – 1:6
- Key stage 3 (age 11-14) – 1:10
- Key stage 4 (age 14-16) – 1:15
- Post-16 AS/A2 (age 15-18) – 1:15
- SEND – 1:5
Children must be accompanied at all times unless events are explicitly advertised as drop off. For interactivity family events such as discos and family dance classes, tickets can only be purchased for a child if an adult ticket is also being purchased. Similarly, lone adults are not able to book for these events.

We endeavour to provide the very best customer service to all our visitors; and we strive to maintain the very best relationship with all our neighbours and stakeholders. Private Hire

Stanley Arts does not permit bookings to attach signage or decorations to the walls of the building. The Hirer is liable for any damage done by blu-tack, tape or any other wall fixings. Due to health and safety, no tables and chairs are allowed to be moved without members of staff present. We do not allow use of wet slide play or bouncy castles for children’s parties.VAT
Stanley Arts is not currently VAT-registered, therefore all invoices are exempt from VAT.
Parking & Public TransportThere is no parking on site. We can provide 1-2 spaces for event organisers or caterers dependent on availability. Please talk to the Stanley Art Bookings team member managing your booking for more information.
There are 3 car parks in easy reach of Stanley Arts (Station Road, Belvedere Road and Clifford Road). Local street parking is mainly metered but there is some free street parking off Southern Avenue.
Stanley Arts is just a five minute walk from Norwood Junction station, which has fast services to London Bridge, East & West Croydon, and direct trains to Victoria. There are also services to Sutton, Horsham, Caterham, Tonbridge and Tattenham Corner and the London Overground.
There are many local bus routes that serve Norwood Junction and can connect you easily to many parts of South London.
Catering & RefreshmentsThere is some kitchen provision on site. External caterers are permitted with the permission of the management. If you are supplying your own catering, please give full details including the name and contact details of your provider.
No gas or oil burners may be used inside the building.
Our Cafe’s hours are 9am – 3pm, Monday to Friday. Alternatively, we offer a range of catering options we can provide as part of the event. Please speak to the member of staff handling your booking to discuss.
We can operate a fully stocked licensed bar for your event. All the profits from our bar go towards the charitable aims of Stanley Arts. A price list is available on request. Please discuss any other needs with the Manager. As a licensed premises, we do not allow bookings to supply their own alcohol for events. All alcohol must be supplied and sold through Stanley Arts.
Any minimum spend requirements will be discussed in the specific terms of your agreement with Stanley Arts. Any questions regarding bar options, please contact our Bar Manager at bars@stanleyarts.org.

CONDITIONS OF HIREThe Hirer:
- Shall comply with any and all requirements or directions of the Stanley Arts-appointed Manager who shall be at liberty to suspend, terminate or control the hire to any extent and in any way they may deem necessary. The Hirer shall immediately vacate the premises if requested to do so. Such determination shall not release the Hirer from their obligations. This shall be without rendering Stanley Arts liable to damages or otherwise in respect of such suspension or actions.
- Shall comply with all statutory regulations and other legal obligations to which they are subject, for example, no smoking anywhere in the building and no behaviour likely to cause a breach of the peace.
- Shall take all possible steps to ensure all guests comply with all rules and regulations at all times.
- Shall not allow anything to be done to invalidate the insurance policy.
- If the hire has to be cancelled by the Hirer the following policy applies (minus a 10% non-refundable holding deposit):

- Shall comply with Stanley Arts’ zero tolerance of drugs & the misuse of alcohol policy.
- Shall not use the premises for any purpose other than that specified in the Agreement.
- Shall keep all gangways doors, passages, corridors, entrances and exits clear and unobstructed.
- Shall not remove any of the fixed furniture or appliances from Stanley Arts or drive any nail, screw or other fixing or fastening into any wall, floor or furniture without previous permission of the Manager.
- Shall repay to Stanley Arts on demand the cost of reinstating all or any part of Stanley Arts, or any property in or upon the building, which is damaged, destroyed, stolen or removed during the hire period or prior to the hire period if the damage is in relation to or caused by the hiring.
- Shall only bring property into the building if it is safe, and adequately fireproofed. Electrical equipment may be subjected to PAT testing. All such property is the responsibility of the Hirer and must be removed after the event.
- Shall provide method statements and risk assessments for any events which require installation of temporary equipment. Any contractors working on site will be required to provide copies of relevant insurance. This documentation should be provided at least four weeks in advance of the event.
- Shall not permit any explosives, highly inflammable spirits or the use of naked lights in or around the premises.
- Shall not bring any animals into the building apart from service animals, unless by prior agreement.
- Shall leave the space in a clean and tidy order, or a cleaning fee will be deducted from the damage deposit before a refund is issued. Alternatively, with prior agreement made with the Manager, the Hirer can choose to pay a cleaning fee whereby cleaning will be arranged by the Manager.
- If confetti is brought onto site or food is not cleaned appropriately, an automatic cleaning fee of £50 will be applied.
- Shall not leave any property on site without permission once the hire period has concluded. Anything left behind will be disposed of at Stanley Arts discretion, and at the Hirer’s cost. We do not allow helium canisters to be stored on site.
- Shall not transmit or record performances on the premises without prior consent from the Manager. Any photographs taken in the space can be shared by the Stanley Arts marketing team with full credit.
- Shall not infringe the copyright on plays etc and shall indemnify the Stanley Arts for any proceedings arising from breach of copyright.
- Shall be liable for any PRS/PPL charges arising from a public event. Live bands must fill in a PRS setlist form and submit to the management in advance.
- Shall not permit the use of any amplification equipment without previous permission from the Manager.
- Shall provide such attendants for general supervision of the premises as the Manager shall deem necessary, to be agreed in advance.
- Shall inform Stanley Arts if there are likely to be any minors attending. If so, the Hirer shall sign the child safety and safeguarding policy, and agree that they take all responsibility for children attending the venue.
- Shall ensure that room capacities are strictly adhered to. These relate to fire safety policies and cannot be exceeded.
- Shall not permit any high-risk activities by any person(s) at any time. Anybody seen to be endangering other members of the public shall be ejected with no recourse, at the discretion of the management.
Stanley Arts:
Will retain the keys.
Will provide at its own expense for reasonable cleaning, heating and normal lighting of the premises but shall not be responsible for any failure or defect thereof.
Will not accept responsibility for the loss of or damage to any item brought to or left on the premises.

GENERAL INFORMATION
Holding Deposit and Payments
For bookings over £1000 in total, a 10% non-refundable holding deposit will be required from the agreed hire fee, 14 days after invoice. Full amount of the hire agreement must be settled within 4 weeks of issue, or 14 days before the event, whichever is sooner. For last-minute events, where the booking is less than two weeks from the invoice issue date, the invoice should be paid as soon as it is received. All invoices need to be fully paid before your event happens.
Damage Deposits
The damage deposit will also be used to cover any outstanding financial liabilities from unpaid invoices, extra hours, overruns etc. The hirer will receive a detailed breakdown of any money to be held back from their damage deposit and the reasons why.
The balance of the damage deposit will be returned to the hirer within 2 weeks of the hire. The hirer should send their bank details promptly to the venue after their event to allow us to process their refund. Classes Hire
Booking Details
For class bookings we require the first payment to be two full months where one month is for the hire and the second month will act as a deposit for the booking.
All classes agree to move to a suitable space when required by Stanley Arts who will strive to give two weeks notice in advance of any room changes.
It is the hirer’s responsibility to give the venue two weeks notice of cancellation for the class booking, if cancellation is given in suitable time the booking fee will be carried over to a future booking.

Will not be liable in any way to the Hirer for any cost, inconvenience or damage caused by any interruption in or failure to provide services or facilities where such failure is due to circumstances beyond Stanley Arts’ control. This is including but not limited to: war, strike, industrial dispute, flood, fire, accident to any premises or equipment, shortage of materials or labour.
Retains the right to terminate this contract at any time if the Hirer:

Does not fulfil any of their obligations laid out in this agreement.

Becomes insolvent.

Does not pay their invoice within the timeline agreed.
-
Proposes an event that might, in the opinion of the management, prejudice the reputation of Stanley Arts.
Miscellaneous:
-
Any notice by Stanley Arts or the Manager to the Hirer may be sent by email or ordinary pre-paid first class post to the Hirer at the addresses given in this agreement and will be deemed to have been served immediately if by email or on the following working day if by post.
Drug & alcohol misuse policy:

Any customer found using or selling drugs will be ejected immediately and the police called.
-
Any customer found to be intoxicated will be ejected immediately with no re-entry.
-
Stanley Arts will not be liable for any disruption to any event caused by ejecting customers as a result of this policy.

The management’s decision is final.
Marketing
If the booking is a public ticketed event, The Hirer is responsible for their own marketing, including the production and printing of any literature such as posters, flyers etc, unless otherwise arranged with the Manager. Stanley Arts Staff, where possible, will assist with the promotion of events taking place at Stanley Arts. For further confirmation contact the Manager. All promotional material must be approved by Stanley Arts prior to printing and include the venue logo and details as required.
MISSED PAYMENT
For bookings over £1000 a payment plan (Direct Debit) may be set up to spread the cost of the hire fee over a number of months (the final payment must be made within 1 month of the event in question). If a set payment date is missed a late payment fee of £30 will be applied. This charge covers the administrative costs associated with managing missed payments. Continued failure to make payments may result in suspension or cancellation of the booking.

Ticket Purchases
For all tickets bought through our third party ticketing partner Ticketsolve please go to their website for a full list of their terms & conditions.
Ticketsolve charge us booking fees which amount to about 10% of the face value of the tickets. We cover some of these fees by recharging about half of them to the customer. The precise recharging is a little complex because the cost to the customer is based on the overall booking cost for all the tickets they are booking, not the individual ticket. These charges to the customer are:
Up to £5 booking – 50p booking fee
£5 to £25 booking – £1.25 booking fee
Over £25 booking – £2 booking fee
On tickets booked through our website, (via TicketSolve) we offer exchanges if you’re unable to attend for any reason. If no exchange can be agreed on, we offer a full refund (excluding Ticketsolve fees) for extenuating circumstances.
For group bookings including children, we suggest the following adult/ child ratio, please consider this whilst making your booking.
- Foundation stage (age 0-5) – 1:3
- Key stage 1 (age 5-7)- 1:6
- Key stage 2 (age 7-11) – 1:6
- Key stage 3 (age 11-14) – 1:10
- Key stage 4 (age 14-16) – 1:15
- Post-16 AS/A2 (age 15-18) – 1:15
- SEND – 1:5
Children must be accompanied at all times unless events are explicitly advertised as drop off. For interactivity family events such as discos and family dance classes, tickets can only be purchased for a child if an adult ticket is also being purchased. Similarly, lone adults are not able to book for these events.
